Stop searching. Start serving.
The Webtrix24 CRM customer dashboard puts everything you know about a customer and their family on one screen: profile, policies, claims, vehicles, comments, notes, tasks, documents and a full activity history.
Every insurance agent knows the drill. A customer calls about a claim. You open WhatsApp to find the last chat, dig through email for the policy copy, check a spreadsheet for the renewal date, and ask a colleague whether anyone already spoke to them. By the time you have the answer, the customer has waited, and you have looked disorganised.
That friction costs more than time. It costs renewals, referrals and trust. Customers stay with the agent who remembers their details, not the one who asks for them again.
This guide walks through every part of the customer dashboard and, more importantly, how agents, agencies and business owners can use each feature to win more business from the customers they already have.
1. The customer profile: know who you are talking to in 3 seconds
The left panel is the customer’s identity card, visible no matter which tab you are on. Before you say hello, you already know who they are, where they live and who on your team owns the relationship.
What you see at a glance:
- Name, role and household ID: For example, a customer tagged as Family Head with a unique household ID.
- Mobile and WhatsApp numbers: Call or message without searching your phone.
- Email and address: Ready for sending policy copies, renewal notices or courier documents.
- Birth date and age: Useful for understanding life stages and discussing relevant insurance needs.
- Blood group, height and weight: Health details that may be needed when preparing life or health insurance proposals.
- Assignee: The team member responsible for the customer, so everyone knows who should follow up.
How to use the customer profile to grow your business
- Personalise every call: Use relevant customer details to make conversations more personal and review their insurance needs.
- Quote faster: Having required customer information available can reduce repeated questions when preparing a proposal.
- Clear ownership: Assigning a customer to a team member helps managers balance workloads and track responsibility.
- Download Portfolio: Use the link below the household ID to generate the family’s portfolio report. This feature is explained later in the guide.
2. Family Tree: manage the household, not just the person
Insurance is bought by families, so Webtrix24 groups every member under one household with the family head at the top. Each member shows their relationship and how many policies they hold.
In the example household:
| Member | Relationship | Policies |
|---|---|---|
| Rajesh Prakash Patil | Self (Family Head) | 4 |
| Sunita Rajesh Patil | Spouse | 1 |
| Aarav Rajesh Patil | Son | 2 |
| Ananya Rajesh Patil | Daughter | 2 |
Click any name to jump to that member’s own dashboard. The Policies tab of the family head shows all 9 policies across the household, with each policy tagged to the member it covers.
How to use the Family Tree to grow your business
- Spot coverage gaps: If one family member has fewer policies than others, review whether they may need additional health or life cover.
- Suggest family plans: Seeing all members together makes it easier to discuss family health floaters or additional cover where suitable.
- Plan for life events: Changes such as overseas education or buying a first vehicle can create new insurance needs.
- Protect the whole relationship: When one member files a claim or lets a policy lapse, you can see the household context and follow up appropriately.
The Family Tree helps agents understand the household’s overall insurance portfolio instead of viewing each customer as an isolated record.
3. Policies: the whole book of business for one family
The Policies tab opens with four summary cards that answer the questions a business owner asks first: how many policies, how many are live, how many have lapsed and how much premium the family brings in.
In the example family, the dashboard shows 9 policies, 8 active policies, 1 expired policy and a total premium of ₹2,12,641.5.
Filter by line of business
One click narrows the list to Life, Health, Vehicle, Travel, WC (workmen’s compensation), Fire, Marine or Other. This is useful when a customer calls about a specific policy, such as car insurance, and you need its details immediately.
Renewal and expiry alerts on every card
Each policy card has a coloured banner that tells you exactly where the policy stands.
- Upcoming renewal: For example, a travel policy renewal due on 15 October 2026 with 6 days left signals that the customer needs a call that week.
- Expired policy: An expired policy card shows the expiry date and how many days have passed. If the customer has chosen not to renew, mark it as Not Required so it stops appearing in the follow-up list.
View important policy details at a glance
You do not need to open a separate file to see the key information. Each policy card shows the product, insurer, status, policy number with a copy button, issue date and the family member covered.
Cards can also display details relevant to the policy type:
- Health: Holder type, room rent limit, cumulative bonus and sum insured.
- Travel: Destination, plan name, departure date and annual premium.
Each card also shows the next premium date and provides three actions: View Details, View Document for the policy copy, and Premium Payments to record or check instalments. Use Create Policy to add a new policy from the same screen.
How to use the Policies tab to grow your business
- Never lose a renewal: Check the “days left” banners every morning and contact customers before their policies expire.
- Follow up on expired policies: Use expired policy cards as a call list and check whether the customer wants to discuss coverage again.
- Answer customer questions quickly: Refer to details such as room rent limits, sum insured and bonus when customers ask about their coverage.
- Identify cross-sell opportunities: Filter by policy category to review which types of coverage a family may not have.
- Understand premium value: Use the total premium summary to understand the value of each household’s policies and plan customer service accordingly.
4. Claims: be there when it matters most
The Claims tab lists every claim the family has raised, so you can check ongoing claims as soon as a customer calls. In the example household, the dashboard shows 4 claims on record.
A claim is the moment of truth in insurance. Customers judge their agent not on the day they buy, but on the day they need help. With every claim tied to the customer and policy, you can see what was filed, against which policy and where it stands, without calling the insurer first.
How to use the Claims tab to grow your business
- Call before customers call you: Check open claims daily and proactively update customers about their status.
- Turn settled claims into referrals: After a claim is settled smoothly, consider asking the customer for a referral or review.
- Learn from claim history: A family with repeated health claims may need a review of its sum insured or a top-up plan at renewal.
5. Vehicles: every car and bike, with its cover
The Vehicles tab records the family’s vehicles and links them to their motor policies. In the example household, 2 vehicles are recorded.
How to use the Vehicles tab to grow your business
- Keep track of motor renewals: Review the family’s vehicles and linked motor policies to identify upcoming renewals and follow up on time.
- Discuss relevant add-ons: Vehicle details can help you discuss options such as zero depreciation, engine protection or roadside assistance where appropriate.
- Identify new opportunities: If a family has multiple vehicles but only one is insured through you, you can discuss the other vehicle’s insurance needs. Add newly purchased vehicles to the record and follow up on suitable cover.
6. Comments, Notes and Tasks: one place for every conversation
These three tabs replace scattered WhatsApp threads, sticky notes and memory. Together, they make sure every conversation with a customer, and every internal discussion about them, lives on the customer’s record.
Comments: the running conversation log
Use Comments to record what happened in each interaction and to discuss the customer internally with your team. In the example, the customer record contains 7 comments.
- Log every touchpoint: For example, record that you called a customer on 9 October, discussed two travel plans for a family member’s USA trip, and need to call back on Monday. The next person opening the record can continue from where you left off.
- Keep internal discussions in one place: Your team can discuss pricing, underwriting concerns or a complex claim on the customer record instead of relying on personal chats.
- Make handovers easier: If an agent is on leave or a customer is reassigned, the new owner can review the comment history and continue the conversation without asking the customer to repeat everything.
- Improve follow-ups: Comments can record customer objections and interests, such as wanting a lower premium or considering a term plan later. This information helps prepare for the next call.
Notes: what you need to remember
Notes hold lasting information that is not tied to one conversation, such as customer preferences, family context, the best time to call or a preferred language. These small details help you provide more personalised service.
Tasks: nothing falls through the cracks
Tasks turn intentions into actions with an owner and a deadline. Examples include sending a renewal quote, collecting KYC documents or following up on a claim. In the example, the customer record has 2 open tasks.
- Turn every promise into a task: If you tell a customer you will call back, create a task before you finish the call.
- Help managers monitor follow-ups: Business owners can review open tasks across customers and agents and identify delays before they become complaints.
Key takeaway: Recording comments, keeping useful notes and creating tasks helps your team maintain continuity, remember customer requirements and follow through on commitments.
7. Documents and History: proof, paperwork and a full audit trail
Documents
The Documents tab stores the customer’s files, including KYC documents, policy copies, claim papers, vehicle RC and more. Policy copies are also available through the View Document action on each policy card.
- Send copies instantly: When a customer needs a policy copy for a hospital desk, visa application or vehicle check, retrieve and share it quickly.
- Avoid repeated KYC requests: Collect documents once and reuse them for new proposals within the family where appropriate.
History: a full record of changes
The History panel on the right records changes made to the customer’s record, with the newest entries first. It shows who made each change and when it happened.
Examples of recorded activities include:
- Policy Created For Family Member: A life policy created for a family member, including the policy number and relationship.
- Policy Updated: An update made to a workmen’s compensation policy.
- Policy field changes: Changes to fields such as Commission Basis, GST Rate, Total Payable Amount and Net Premium are logged separately.
Each history entry includes the team member’s name and timestamp, making it easier to trace changes to customer and policy records.
How to use History to improve your business
- Resolve disputes with facts: Review the history to see what changed and who made the change.
- Review your team’s work: Business owners can check premium, GST and commission edits and identify potential errors.
- Prepare for customer meetings: Review recent history entries to understand what has happened on the account.
8. Download Portfolio: a branded family report
One click on Download Portfolio produces a report of the family’s insurance portfolio, including every member, every policy, sums insured, premiums and renewal dates.
You can add your own branding page as the first page, with your logo, agency name and contact details.
Large brokers and wealth managers send clients polished annual statements. With Webtrix24, an independent agent or a small agency can provide a similar portfolio report in seconds.
How to use Download Portfolio to grow your business
- Run annual portfolio reviews: Share the family’s portfolio once a year and review its coverage together. This can help identify gaps and relevant insurance needs.
- Present a professional brand: A branded cover page helps customers recognise your agency and its contact details.
- Encourage referrals: Customers can share a well-presented report with relatives and friends, helping others discover your services.
- Give families a clear record: A consolidated portfolio helps families understand their coverage and know whom to contact when they need assistance.
9. A Daily Playbook for Agents and Agency Owners
The Webtrix24 CRM customer dashboard helps insurance agents manage renewals, claims, customer communication and follow-ups more efficiently. A simple daily and weekly routine can help agents improve customer service and identify new business opportunities.
Daily Checklist for Insurance Agents
- Follow up on upcoming renewals: Check policies due for renewal in the next 15 days and contact customers before the insurer’s reminder reaches them.
- Review open claims: Check claims that are still in progress and send a status update to each customer.
- Complete pending tasks: Review open tasks and record every customer call and WhatsApp conversation in the Comments section.
- Review customer details before calling: Check the customer profile, family tree and latest comments before contacting a customer.
Weekly Checklist for Insurance Agents
- Follow up on expired policies: Contact customers whose policies have expired and explore opportunities to renew their coverage.
- Review family coverage: Select five families and look for coverage gaps, such as a spouse without health cover, a child without travel cover or a vehicle insured elsewhere.
- Share customer portfolios: Send a branded portfolio to families whose policy anniversary falls during the week.
Checklist for Agency Owners and Business Managers
- Review team follow-ups: Check open tasks and overdue follow-ups assigned to each team member.
- Monitor important changes: Review the History section for changes to premiums, GST and commission details.
- Identify important customer relationships: Use total premium per household to identify top families and prioritize customer service.
- Maintain customer records: Encourage agents to add comments after every interaction so customer information remains accessible to the agency and is not limited to one person’s phone.
The growth opportunity is simple: improve renewal rates, identify opportunities for more policies within each family and encourage customer referrals. The customer dashboard helps agents and agencies focus on all three areas.
10. Conclusion: Manage Every Customer Relationship in One Place
The Webtrix24 CRM customer dashboard brings customer information into one clear view. Agents can review family members, policies, claims, previous conversations, documents and pending activities without searching across multiple places.
For agents, this means faster access to customer details and more confident conversations. For agencies and business owners, it helps support timely renewals, better team coordination and consistent customer service.
Every feature on the dashboard has one purpose: to help your team serve each family better, strengthen customer relationships and identify relevant insurance opportunities.
